This policy outlines the expectations for appointment cancellations, rescheduling, and non-attendance across all services provided by PixelRehab.

Appointment commitment
When you book an appointment with PixelRehab, that time is reserved exclusively for you. Late changes or non-attendance limit our ability to offer that time to other clients.

Notice period
A minimum of 24 hours’ notice is required to cancel or reschedule an appointment.

Late cancellations and non-attendance
Where less than 24 hours’ notice is provided, or where a client does not attend a scheduled appointment, the following applies:

Private clients
Late cancellations and non-attendance will be charged at 50% of the scheduled appointment fee.

NDIS participants
Cancellations are managed in line with NDIS guidelines regarding short notice cancellations. Where a cancellation occurs within 24 hours, or a participant does not attend, PixelRehab may claim for a short notice cancellation where permitted under NDIS rules and where the appointment time cannot be reallocated.

Medicare and WorkCover clients
Late cancellations and non-attendance cannot be charged under Medicare or WorkCover funding arrangements. As a result, no fee will be charged in these instances.

Discretion
We understand that unforeseen circumstances can occur. Exceptions may be considered at the discretion of PixelRehab, including in cases of medical emergencies or significant unforeseen events.

Policy acknowledgement
By booking an appointment, you acknowledge and agree to this Cancellation Policy.

Updates
PixelRehab reserves the right to update this policy to reflect changes in service delivery, funding requirements, or regulatory guidelines.
